The Document Specialist is responsible for managing all documents within the Compliance and Privacy Department, including converting draft documents into professional formats, distributing and posting documents, and maintaining a document index system. This includes a wide range of materials such as management and Board reports, meeting agendas, project plans, policies and procedures, training materials, employee communications, and more. The role requires strong computer skills, experience with forms development, and a solid understanding of English grammar, spelling, punctuation, and proofreading. The ideal candidate must be highly organized, detail-oriented, able to prioritize tasks, create schedules, work independently with minimal supervision, and take professional pride in delivering high-quality work.
How will I contribute
Develop written plans for completing project assignments including detailed step by step tasks, needed resources and timelines. Proofread, edit, and format various documents paying critical attention to accuracy, clarity, and professional looking results. Ensure documents are formatted professionally, including cover pages, tables of contents, live links, and referenced attachments. Manage the design and set up of staff forms including piloting forms and obtaining staff feedback. Oversee the process of form translation (English to Spanish) and adjust the Spanish version formatting, as necessary. Customize standardized forms as needed for different Programs. Complete tasks associated with distributing policies and procedures (e.g. ensure links in policy are active; update Privacy Terminology Manual, update policies Table of Contents; upload policy to employee portal/SharePoint, etc. Convert forms to online/PDF fillable versions, as required. Maintain the Compliance and Privacy Department's intranet site/SharePoint by uploading new and updated documents and removing outdated materials. Coordinate with Communications Department to upload documents to the agency website. Ensure all documents are organized, easy to access, and up-to-date. Develop and maintain document and forms indexing systems. Assist in preparing agendas, handouts, and formal communications for meetings, including the Executive Compliance Committee and meetings with the Kings View Board of Directors. Customize standard letters or notifications related to compliance matters, including subpoenas and records requests. Proactively communicate with the Privacy & Compliance team to ensure work stays on schedule, collaborate on document design and formatting, and regularly review and adjust priorities as needed. Perform other duties as assigned to support the overall functioning and success of the program.
What I bring
High School Diploma (or Equivalent) 3 years of experience in administrative document management including building forms. Experience working independently developing professional documents including proofreading, formatting, distribution, and maintenance. Class C Driving License Knowledge of document management systems and Adobe Acrobat PDF fillable form creation Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) , basic knowledge of Google Workspace and Adobe Acrobat is essential. Proven ability to create professional documents and format PDF fillable forms. Strong technical abilities in using document management systems (e.g., SharePoint) for organizing, storing, and retrieving documents. The ability to troubleshoot technical issues with document management systems and ensure smooth workflow. Ability to manage multiple projects and prioritize tasks to meet tight deadlines. Detail-oriented, highly organized, and able to manage multiple tasks simultaneously with minimal supervision. Strong written and verbal communication skills are essential for coordinating projects with multiple programs and The candidate must be proactive, with a strong sense of responsibility and a commitment to ensuring accuracy. A self-starter who takes pride in producing high-quality work and maintains professionalism in all aspects of their job. Adaptability and a collaborative attitude are also key to success in this role. Bilingual (Spanish/English) is a plus.
